The role of Manager Operations will be responsible and accountable for planning, directing and managing all activities at the clinic. The incumbent will be responsible for leadership and overall success of the clinic, overseeing all internal operations related to clinical staff and patient services and driving clinic growth through business development activities. On a typical work day, you may be involved in overseeing clinic schedule, hiring new staff, creating budget plans, managing patient billing, arranging work schedules, overseeing sales and having meetings with vendors. No two days are the same for the Manager of clinical operations, so being flexible with quick critical thinking skills is essential. Being detail-oriented with good organizational abilities is important for the Manager to keep day-to-day clinical activities running smoothly. You must be a skilled communicator with the interpersonal skills to collaborate with various professionals, including physicians, patients, insurance representatives, sales teams, etc. Administrative dilemmas can occur when you least expect, but you should be equipped with the problem-solving skills to implement a creative solution that won't compromise patient care. This individual must be able to understand the granular protocols and processes of the practice, while understanding long term needs of the business such as boosting sales, growing talent from within, seeking out external talent for future needs and being an effective liaison within the community. Sales and sales management will be a big component of the role. Take an inside look at what you’ll do each day: Ensure all team members understand their key accountabilities and perform to the expected level Foster and deepen relationships with medical practitioners to increase volume of existing services, cross referrals and to identify gaps that create new service delivery opportunities Proactively liaise with the executive team and provide daily updates. Work with them to make decisions for overall practice operational activities. Assist in the development of strategic plans for operational activity. Implement and manage operational plans. Liaise with doctors to evaluate and identify potential inefficiencies according to organizational objectives and apply improvements/solutions Review and monitor daily sales to ensure clinic is on track to reach sales targets Plan and monitor the day-to-day running of administration operations to ensure smooth progress Develop and implement strategies to improve customer-service, sales, retention rates and overall business development Maintain a professional, safe and inviting working environment by ensuring the office is clean and organized Oversee and manage inventory Responsible for creating heightened expectations around patient and customer service whereby creating a best-in-class care experience. Responsible for interventions relating to patient concerns and escalations and resolving in a timely and thoughtful manner. Responsible for P&L and budget in collaboration with the COO. Responsible for the oversight and protocols pertaining to POS and cash collections relating to patient billing and AR. Stay abreast of regulatory issues, deficiencies, or potential problems that may have financial impacts or involve regulatory intervention. Oversee all schedules for administrative and clinical staff. Approve time off requests and find replacement for staff regarding vacation, sick time and call offs. What you will need to succeed? To be considered for this position, you must have at least 5 years proven experience as a senior administrative professional in a clinical setting. You must be a natural sales-person and also have a solid understanding of budgeting, resourcing, and project management. Some other qualifications that you will need are as follows: Hold an undergraduate degree in Health, Business or Health Administration, with postgraduate education. Demonstrate the ability to lead teams and individuals to achieve results Possess excellent communication and organizational skills, with the ability to work as part of a team in a fast-paced environment Preferably, have strong knowledge of the health care system Be comfortable interacting with senior level stakeholders within partner organizations Why us? Some of the conditions that they will regularly treat are headaches, TMJ/TMD (jaw pain), adhesive capsulitis (frozen shoulder), chronic pain, postural issues, upper & lower back pain, prenatal and postnatal massage, limited range of motion and sport related injuries. Providing professional massage and body treatments in accordance with clinic protocols and accepted certification practices. Welcoming clients and ensure a comfortable and professional experience. Go over client health history provide them with a thorough assessment which can include a postural analysis, range of motion testing and/or recommendations to see other practitioners at the clinic. Ensuring that services are provided on time per each massage appointment and perform services within the appropriate time allotted for the service. With the support of the Administration team, maintain the treatment rooms organized and neat with adequate supply of products and linens, cleaning and instrument sterilization. Provide remedial exercise and home care to the patient so that they may continue making progress on their own. Make recommendations as to when their next massage treatment should be. Working with senior leadership or independently in building a robust massage therapy client base. Assisting with strategic marketing initiatives to contribute to the clinic's overall business development. Completing required client notes, maintaining accurate documentation and filing of client files.
